Focus on paper weight (GSM); premium invitations typically range from 250gsm to 450gsm to ensure a luxury feel. Evaluate printing techniques such as foil stamping, embossing, or laser cutting for precision. For acrylic invitations, ensure a thickness of at least 2mm and check for scratch-resistant coatings to maintain clarity during transit.

Always request a Pantone color match rather than relying on CMYK screen previews. Ask the supplier for physical press proofs or high-resolution photos under natural lighting before mass production. For specialized finishes like rose gold or champagne foil, verify the specific foil code to avoid batch-to-batch variance.

Prioritize suppliers with FSC (Forest Stewardship Council) certification to guarantee sustainable sourcing. For international markets, ensure the inks used are non-toxic and soy-based, meeting REACH or RoHS standards to avoid customs delays related to chemical safety regulations.

For invitations with 3D embellishments, wax seals, or delicate laser-cut patterns, perform a drop test on the packaging. Ensure the supplier provides custom-sized outer envelopes with a minimum weight of 120gsm to prevent tearing. If using acrylic, confirm the use of protective film on both sides to prevent abrasions.

The biggest risks are spelling errors and layout shifts. Always demand a final digital mockup (Soft Proof) and sign off on it formally. Another risk is moisture damage during sea freight; ensure the supplier uses desiccants and waterproof inner plastic bagging for all paper products.

Negotiate based on tiered pricing; for example, ask for a 10-15% discount when moving from 500 to 2,000 units. Discuss customization plate fees (die-cutting or foil plates)—experienced buyers often negotiate to have these fees waived or refunded if the total order value exceeds a certain threshold.

Utilize Secured Trading Services on Made-in-China.com to ensure payments are only released upon proof of shipment. For large-scale custom orders, follow a 30/70 payment structure: 30% deposit to start production and 70% balance after a third-party quality inspection but before the goods leave the factory.

Since wedding invitations are time-critical, Air Express (DHL/FedEx/UPS) is recommended despite higher costs, as it offers door-to-door tracking and faster customs clearance. For bulk stock items, Sea-to-Door (DDP) is more economical, but you must buffer at least 35-45 days to account for potential port congestion.
