Solid wood (Oak, Pine, Walnut) is preferred for high-end retail or home decor due to its premium feel, but it requires kiln-drying to prevent warping. For high-volume commercial use or budget-friendly projects, MDF (Medium Density Fiberboard) with wood grain veneers offers consistency, while Aluminum frames are the best choice for modern offices and outdoor-facing displays due to their lightweight nature and corrosion resistance.

Buyers must ensure products meet regional safety regulations. For the US market, ensure TSCA Title VI or CARB Phase 2 compliance regarding formaldehyde emissions in composite wood (MDF). For the EU, REACH certification for paints and coatings is mandatory. If the frame uses glass, specify tempered glass or shatterproof acrylic (PMMA) to meet safety standards for public spaces and reduce the risk of breakage during transit.

Focus on the backing board thickness (typically 2mm to 3mm) and the type of mounting hardware. Ensure the frame includes multi-directional hanging hooks (sawtooth or D-rings) for both vertical and horizontal orientation. For premium orders, verify the mat board quality, prioritizing acid-free and lignin-free materials to prevent yellowing of the artwork over time.

Inspect the miter joints; there should be no visible gaps or misalignment at the corners. For painted frames, check for UV-resistant coatings to prevent fading under sunlight. Request a cross-cut adhesion test report for the paint layer to ensure it won't peel. For bulk orders, a stitching or V-nail reinforcement at the back of the corners is a key indicator of structural integrity.

The biggest risk is glass breakage and corner damage. To mitigate this, insist on 5-layer corrugated export cartons and reinforced plastic corner protectors. For items with glass, drop-test certified packaging (ISTA 1A or 3A) is highly recommended. Consider replacing glass with high-transparency acrylic for long-distance sea freight to significantly reduce damage rates.

Leverage volume-based pricing by requesting a tiered quote (e.g., 500, 1000, and 5000 units). You can often negotiate a 3-5% discount by consolidating different sizes into a single production run using the same molding profile. Additionally, ask for OEM branding (logo embossing or custom inserts) to be included in the unit price for orders exceeding 1,000 pieces.

Always use secure payment methods and consider third-party inspection services (like SGS or Intertek) to conduct a pre-shipment inspection (PSI). Ensure the Proforma Invoice (PI) clearly states the allowable breakage rate (usually <3%) and the compensation terms for items damaged beyond that threshold.

Be aware of Anti-Dumping Duties (ADD) which may apply to certain wooden or aluminum products depending on the country of origin and destination. Check the HS Code (typically 4414 for wooden frames or 7610 for aluminum) against your local customs tariff schedule to calculate the Total Landed Cost accurately before finalizing the contract.
